1. Scope and our role

This Policy applies when you visit our website, request information, create or use a KISO account, communicate with us, or otherwise interact with the Services. It does not apply to third-party websites, products, or services that have their own privacy policies.

KISO provides Kiso eSign, electronic signature software for preparing, sending, and retaining documents, and Kiso Claims, claim communication and workflow software for messaging, files, participants, and claim records, together with the websites and support that accompany them. When we collect account, website, billing, and support information for our own purposes, KISO generally acts as the business or controller. When a KISO customer submits or collects information about its employees, insureds, claimants, signers, or other individuals through the Services ("Customer Data"), KISO generally acts as a service provider or processor on that customer's instructions. The KISO customer controls Customer Data and is responsible for providing required notices and obtaining required permissions.

If your information was provided to KISO by one of our customers, direct your privacy request to that customer first. We will assist the customer as required by law and our agreement with them.

2. Information we collect

Information you provide

  • Contact and account data: name, business email, telephone number, company, job title, login credentials, preferences, and similar identifiers.
  • Commercial and billing data: subscription, order, transaction, and billing details. Payment card information may be collected directly by our payment processor rather than KISO.
  • Communications: messages, form submissions, support requests, survey responses, and feedback you send to us.
  • Customer Data: documents, envelopes, signature fields, audit events, claim records, messages, files, participants, assignments, exposures, and other content our customers choose to process through Kiso eSign or Kiso Claims.

Information collected automatically

We may collect IP address, device and browser type, operating system, referring URLs, pages viewed, approximate location derived from IP address, timestamps, cookie or device identifiers, feature usage, diagnostic logs, and security events. On kisohq.com we may also process campaign parameters such as UTM tags to understand how people find this website.

Information from other sources

We may receive information from our customers, integrations they enable, communications providers, public sources, referral partners, and service providers. We combine this information only as permitted by law and the applicable customer's instructions.

3. How we use information

We use personal information to:

  • provide, operate, maintain, personalize, and support the Services;
  • create and secure accounts, authenticate users, process transactions, and provide customer support;
  • deliver signing links, claim messages, file-collection links, and related notifications at a customer's direction;
  • monitor performance, troubleshoot problems, develop features, and improve usability;
  • detect, investigate, and prevent fraud, abuse, security incidents, and violations of our terms;
  • send administrative, transactional, product, and—where permitted—marketing communications;
  • comply with law, enforce agreements, and protect KISO, our customers, users, and others; and
  • create aggregated or de-identified information that does not reasonably identify an individual.

Where required, we rely on consent, performance of a contract, compliance with legal obligations, or our legitimate interests, provided those interests are not overridden by your rights.

4. How we disclose information

We may disclose personal information to:

  • service providers that support hosting, email and SMS delivery, malware scanning, analytics, security, support, payment processing, and other business operations;
  • customer-authorized integrations, such as identity, communications, or storage providers, when a customer connects or directs us to use them;
  • your organization and its administrators when you use an organization-managed account;
  • professional advisers and authorities when reasonably necessary to comply with law, legal process, or protect rights and safety; and
  • transaction participants in connection with a financing, merger, acquisition, reorganization, or sale of all or part of our business, subject to appropriate confidentiality protections.

We do not sell personal information for money. We do not sell or share mobile opt-in information or SMS consent with third parties for their own marketing or promotional purposes. We may disclose information to communications providers and other vendors solely to deliver messages and operate the Services.

5. Cookies and tracking technologies

We and providers working for us may use cookies, local storage, pixels, and similar technologies to keep you signed in, remember preferences, secure the Services, understand usage, measure performance, and—where permitted—understand how people find kisohq.com. Browser controls can block or delete cookies, but parts of the Services may then work differently.

Campaign parameters captured on kisohq.com are used for KISO's own marketing measurement, not as a customer-facing attribution product. Global Privacy Control or other opt-out preference signals will be honored where legally required and technically applicable to KISO's role.

6. Retention and security

We retain personal information for as long as reasonably necessary to provide the Services, fulfill the purposes described here, comply with legal and accounting obligations, resolve disputes, and enforce agreements. Retention depends on the type of information, the customer's configuration and instructions, legal requirements, and security needs. We may retain de-identified information where it cannot reasonably be linked to you.

We use administrative, technical, and physical safeguards designed to protect information, including access controls, encryption in transit where appropriate, monitoring, and vendor oversight. No system is completely secure, and we cannot guarantee absolute security. You are responsible for protecting your credentials and notifying us of suspected unauthorized access.

7. Your privacy rights and choices

Depending on where you live, you may have rights to request access to, correction of, deletion of, or a portable copy of personal information; to opt out of certain processing; to restrict or object to processing; or to withdraw consent. You may also have the right not to receive discriminatory treatment for exercising a privacy right.

To make a request concerning information KISO controls, email privacy@kisohq.com. We may verify your identity and authority before completing a request. Authorized agents may submit requests where permitted by law. You may appeal a denied request by replying to our decision. If Customer Data is involved, contact the relevant KISO customer.

You can unsubscribe from KISO marketing email through the link in the message. You will still receive necessary service communications. For text messages, reply STOP; see our SMS Terms.

8. International processing

KISO is based in the United States. We and our providers may process information in the United States and other countries whose laws may differ from those where you live. Where required, we use recognized transfer mechanisms and contractual protections for cross-border transfers.

9. Children

The Services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information directly from children under 13. If you believe a child has provided information to us, contact us so we can take appropriate action.

10. Changes and contact

We may update this Policy from time to time. We will post the revised version here and change the "Last updated" date. If changes are material, we will provide additional notice when required by law.
